How the Invoicing Software Works
Invoice Manager for Excel is a Windows Excel add-in that transforms any Excel invoice template into a complete invoicing system. It is unlike other invoicing apps in one fundamental way: Excel is the user interface. The invoice form you see and fill in is a real Excel worksheet — meaning every Excel skill you already have applies immediately.
Excel Template
Your invoice form is a pure and unlocked .xlsx file. Design it, brand it, and use Excel formulas freely.
Invoice Manager Add-in
Installed once, it adds an Invoice ribbon tab to Excel and powers every smart feature.
Back-end Database
Customers, products, invoices, and payments are stored securely in a structured database.
This architecture gives you the best of both worlds: the rich layout freedom of Excel (fonts, colors, logos, merged cells, formulas) combined with the data integrity of a real database (unique IDs, relational lookups, payment tracking, reporting). Pure-Excel solutions lack the database; traditional invoicing apps lack the template freedom. Invoice Manager for Excel has both.
What Makes It Unique?
By sitting at the intersection of Excel's front-end flexibility and a proper back-end database, our invoice maker for Excel offers features that neither pure-Excel spreadsheets nor conventional invoicing apps can match on their own.
In-Cell Smart Picker
Click any Bill To cell or product line cell and a small icon button appears instantly. Click it to open a searchable list of your customers or products — no switching windows, no typing errors.
400+ Free Professional Templates
Every template is a genuine Excel workbook. Download any template from our library, open it in Excel, and start invoicing immediately. Templates cover standard invoices, commercial invoices, service invoices, receipts, and more.
Full Template Customization
Use Excel's own formatting tools — fonts, colors, borders, images, merged cells — to brand your invoice exactly the way you want. A Design Mode disables all add-in buttons so you can edit safely without triggering any actions.
Automatic Invoice Numbering
Invoice numbers are generated and incremented automatically, keeping your records sequential and audit-ready with zero manual tracking.
Excel Formulas as Business Logic
Define cell relationships — discounts, tax calculations, unit totals — using ordinary Excel formulas. The add-in respects and preserves your formulas, so your template logic is always under your control.
Quotes & Purchase Orders
The same template and database engine that powers invoices also handles quotes and purchase orders, giving you a unified document workflow without separate tools.
Custom Fields
Add any extra data field your business needs — project codes, contract numbers, department names — without touching the template design.
PDF Generation & Email
Save any invoice as a PDF or send it directly by email from within Excel. Attach a PayPal payment button to your invoices to accept online payments.
Reports & Aging Analysis
Generate reports and import aging reports to monitor outstanding balances, giving you a clear view of your receivables at any time.
One template. Many capabilities.
Because templates are standard .xlsx files, you can easily copy an Invoice worksheet
to create a matching Quote or Purchase Order worksheet — keeping your brand consistent across
every document type your business produces.

What are the system requirements of this invoice maker software?
Invoice Manager requires the following.
- Microsoft Windows 11, 10.
- Microsoft Excel 2013 ~ Microsoft 365, 32-bit or 64-bit.
Note: Invoice Manager for Excel requires a locally installed desktop copy of Excel. It does not work with Office subscriptions that run purely inside a web browser (use Invoice Manager Lite for browser-based Excel).
Invoice Manager Lite — Free for Everyone

Invoice Manager Lite is a free Excel web add-in available from Microsoft Marketplace. It works with all 400+ templates on this site and runs inside Excel for the web (Office 365 in the browser).
Key features include one-click form clearing for a fresh invoice, optional auto-fill of today's date, and automatic invoice numbering — with settings saved inside each template file, so different templates can have their own numbering sequences.
While not as full-featured as the desktop edition, Invoice Manager Lite is an excellent starting point — and all templates are compatible with both versions, so upgrading is seamless.
How to remove Invoice Manager (Lite)
To remove the add-in program from your Excel:
- Start Excel as usual.
- Go to the "Insert" ribbon tab.
- Click "My Add-ins".
- Right-click the add-in name and choose "Remove".
