How the Invoicing Software Works
Invoice Manager combines the flexibility of Excel invoice forms with the data integrity and manageability of a database-backed invoicing system.
The invoice form is a real Excel worksheet, so you can use the Excel skills you already know. Behind the worksheet, Invoice Manager maintains structured records for customers, products, invoices, payments, numbering, and reporting.
- Excel invoice templateYour invoice form is an editable and unlocked Excel workbook that you can design, brand, and enhance with Excel formulas.
- Invoice Manager appThe add-in adds the Invoice ribbon to Excel and provides the smart invoicing functions.
- Structured databaseCustomers, products, invoices, and payments are stored in a structured database for reliable records and easier management.

Pick and Use: 400+ Ready-Made Invoice Templates
Start from a professional invoice form instead of designing one from scratch.
Every template is a genuine Excel workbook, rather than a proprietary invoice designer. Download any template you like, open it in Excel, and start invoicing immediately. The template library includes standard invoices, commercial invoices, service invoices, receipts, quotations, proforma invoices, and other business forms.
- Free template libraryNo registration required. Just download and use.
- Ready for immediate useChoose an existing design, open it in Excel, and begin entering invoice information.
- Design ModeTurn on Design Mode to disable the add-in buttons while editing the template, so you can safely format the worksheet.
Flexibility and Adaptability: Format Forms the Way You Like
Make the invoice look like your business because the template is a real Excel workbook.
Use Excel's own formatting tools for fonts, colors, borders, images, logos, merged cells, column widths, and other layout changes. You can adapt the form to match your company's branding without learning a separate invoice-design application.
This sample, c1012 Two Receipts on One Sheet, shows how we use Excel's "Linked Picture" to create a second copy of an invoice so that it prints two copies.
- Use normal Excel formattingBrand invoice forms with the same formatting features you already use in Excel.
- Keep your own layoutCustomize the worksheet instead of being restricted to a fixed application screen.
- Multiple Templates in One SystemHave several businesses that require different invoice forms? You can use multiple templates with a single installation of Invoice Manager. Just put each pair of template and database file in its own folder.
Custom Fields and Controls: Advanced Customization Support Rarely Found Elsewhere
While many invoicing applications let you choose from different invoice formats and make limited changes to them, Invoice Manager takes Excel-based customization further by supporting custom fields and Excel form controls.
Define relationships such as discounts, tax calculations, line totals, subtotals, and other calculations with ordinary Excel formulas. Invoice Manager respects and preserves those formulas, so the logic of your invoice remains visible and under your control.
You can also add extra data fields and columns for information such as project codes, contract numbers, department names, or a per-product discount level. This makes the invoice form adaptable to businesses with more complex requirements. This example, c9005: Commercial Invoice Template, shows how we use drop-down lists and checkboxes on the template.
You can also use Excel VBA macros. For example, c5103: Email Is Required Before Saving Invoice.
- Ordinary Excel formulasUse formulas you already know for totals, discounts, taxes, and other calculations.
- Custom fieldsStore additional business information without redesigning the whole invoicing workflow.
- Flexible business logicCombine custom columns and formulas to reflect your own invoicing rules.
Quotations and Purchase Orders: Two Additional Form Types
Extend the same Excel-based workflow beyond invoices.
The same template and database engine that power invoices also handle quotes and purchase orders, so related documents can use the same business data and visual identity instead of requiring separate tools.
A built-in conversion workflow can turn an invoice form into a purchase order form or quote form, helping you reuse your existing design and avoid rebuilding documents from scratch.
- InvoiceCreate your customer invoice using your chosen Excel template.
- QuoteReuse the same design and data structure for quotations.
- Purchase OrderCreate purchase-order forms without changing to another system.
Smart Picker and Powerful Search Bar: Handy Tools for Everyday Work
Pick customers, products and other invoice data directly from the Excel cell you are filling — without switching away from the invoice form or manually typing long values.
The Smart Picker works for Bill To customers, Ship To addresses, product/items, Sales Rep names, shipping options, invoice numbers, and other data-selection fields supported by your invoice template.
- Pick data from the invoice cellClick the Smart Picker button that appears in a supported cell to open the matching data-selection list.
- Search large customer, product and invoice listsLarge lists provide convenient search controls so you can find records by any available field instead of scrolling through the entire list.
- Fewer typing errorsSelect an existing record from your database and let Invoice Manager fill the corresponding invoice fields.

Invoice Manager Lite — Free for Everyone
Need only the basics, or want to create invoices in Excel for the web? Invoice Manager Lite is a free Excel web add-in that works with the same 400+ invoice templates.
A Great Time Saver
Although the Lite edition is not as powerful as Invoice Manager, it can still save you a great deal of time.
If you use only the raw invoice template, you have to clear the existing cell contents one cell at a time before creating each new invoice. This is time-consuming.
Invoice Manager Lite is created to deal with this pain. It is an Excel web add-in available through Microsoft Marketplace and works with both the desktop and web versions of Excel.
Visit Invoice Manager Lite on Microsoft Marketplace
With Invoice Manager Lite, you simply click a button. It helps you:
- Clear all the named cells.
- Fill in the current date.
- Fill in a new invoice #.
Install Invoice Manager Lite

- Select More Add-ins.
- Make sure My Add-ins is the active tab.
- Find Invoice Manager Lite and right-click it.
